Amazon settlement report, explained
Amazon pays you every two weeks or so, and the settlement report is the statement behind each payout: one row for every sale, fee, refund and adjustment in the period. It's the most accurate record of what you earned, once you know how to read it.
What the report is
Each settlement covers one payout period. In Seller Central, go to Payments, then All statements, and choose Download Flat File V2 next to a statement: a tab-separated file you can open in a spreadsheet.
- The first row is a summary: settlement-id, settlement-start-date, settlement-end-date, deposit-date and total-amount, the amount paid to your bank.
- Every other row is one movement of money, positive when Amazon pays you and negative when it charges you.
- The amount column adds up to total-amount. That's the check that you have every line.
The columns that matter
| Column | What it says |
|---|---|
| transaction-type | What kind of event: Order, Refund, other-transaction (reimbursements, inbound fees), FBAFees, ServiceFee (ads), Liquidations |
| amount-type | The group: ItemPrice, ItemFees, Promotion, ItemWithheldTax, FBA Inventory Reimbursement |
| amount-description | The detail: Principal, Tax, Commission, FBAPerUnitFulfillmentFee, REVERSAL_REIMBURSEMENT |
| amount | The money, in the settlement's currency |
| order-id, sku, quantity-purchased | Which order line it belongs to (blank for account-level fees) |
| posted-date | When Amazon recorded it |
A sale, line by line
An example: one FBA unit sold for $29.99 to a buyer in a state with 7% sales tax. Each row is a line of the report with transaction-type Order.
| amount-type / amount-description | Meaning | amount |
|---|---|---|
| ItemPrice / Principal | The price the buyer paid | 29.99 |
| ItemPrice / Tax | Sales tax the buyer paid | 2.10 |
| ItemWithheldTax / MarketplaceFacilitatorTax-Principal | The same tax, kept by Amazon to pay the state | -2.10 |
| ItemFees / Commission | The referral fee (15% here) | -4.50 |
| ItemFees / FBAPerUnitFulfillmentFee | The FBA fulfillment fee | -5.12 |
| Net to you | 20.37 |
Sales tax nets to zero: Amazon collects and remits it for you. A coupon or promotion adds Promotion / Principal lines (negative), and a buyer-paid shipping charge on a seller-fulfilled order adds ItemPrice / Shipping with its own fee lines.
A refund, line by line
The same order refunded. Each row has transaction-type Refund.
| amount-type / amount-description | Meaning | amount |
|---|---|---|
| ItemPrice / Principal | The price, paid back to the buyer | -29.99 |
| ItemPrice / Tax and ItemWithheldTax | The tax, reversed (they cancel out) | 0.00 |
| ItemFees / Commission | The referral fee, given back to you | 4.50 |
| ItemFees / RefundCommission | Refund administration fee: 20% of the referral fee, at most $5 | -0.90 |
| Net | -26.39 |
The FBA fee is not given back. After the sale and the refund you're down $6.02: the $5.12 fulfillment fee and the $0.90 administration fee. If the unit comes back sellable, it goes back into your stock. If it never comes back, Amazon usually charges the buyer and reimburses you around 50 to 60 days after the refund, as an FBA Inventory Reimbursement line (REVERSAL_REIMBURSEMENT) for the refund less the fees, here about $20.37. When it doesn't, you can claim it: see Amazon FBA reimbursement rules.
Everything else in the report
| Line | What it is |
|---|---|
| FBA Inventory Reimbursement: REVERSAL_REIMBURSEMENT | Amazon paying you for a refunded unit the buyer never returned |
| COMPENSATED_CLAWBACK | Amazon taking a reimbursement back because the unit turned up after all (it returns to your stock) |
| WAREHOUSE_LOST, WAREHOUSE_DAMAGE | Units Amazon lost or damaged in its warehouses, paid at your sourcing cost |
| MISSING_FROM_INBOUND | Units missing from a shipment you sent in (and MISSING_FROM_INBOUND_CLAWBACK if they're found) |
| CS_ERROR_ITEMS, FREE_REPLACEMENT_REFUND_ITEMS | Customer service errors, and replacements Amazon sent from your stock |
| FBAFees: FBA Inventory Storage Fee, FBA Long Term Storage Fee | Monthly storage and the aged inventory surcharge (see the storage fee calculator) |
| FBAFees: Removal Order Disposal / Return Fee | Removal orders you or Amazon created |
| FBA Inbound Placement Service Fee, Inbound Transportation Fee | Sending inventory in: placement (see the inbound placement fee guide) and partnered-carrier shipping |
| ServiceFee: Cost of Advertising | Sponsored ads charged to your payout instead of a card |
| Subscription Fee | The Professional selling plan |
| Liquidations | Returned or excess units Amazon sold through liquidation, less its brokerage fee |
| Previous Reserve Amount Balance, Current Reserve Amount | Money held back from this payout and released in the next: not a cost |
| Amazon Capital Services | Repayments of an Amazon Lending loan |
| Order_Retrocharge, Refund_Retrocharge | Corrections to sales tax on earlier orders (they usually net to zero) |
Why the deposit isn't your sales
- Fees: referral and FBA fees on every sale, plus storage, removals and inbound fees.
- Refunds in the period, whenever the original sale was.
- Advertising, when Amazon takes it from your payout.
- Reserves: Amazon may hold part of this payout back and release it in the next one.
- Timing: a sale counts when Amazon posts it (usually when it ships), not when it was ordered.
- Sales tax passes through: collected and remitted by Amazon, so it isn't your money either way.
And the deposit still isn't profit: what you paid for the units sold isn't in the report at all.
Let MyProfit read it for you
MyProfit loads every settlement report for you and sorts each line into categories that add up to the deposit. It shows a profit for every payout and every product in it, taking off the landed cost of the units sold and the ads charged to your card, and adding back refunded units that went back into stock. It sends each settlement to Xero or QuickBooks, and it reads the reimbursement lines to find the refunds Amazon still owes you for.
From Amazon's settlement reports (flat file V2) as loaded for MyProfit's sellers, October 2026. The sale and refund above are an example; fees vary by product and category.
