MyProfit

Xero and QuickBooks

Send each Amazon settlement to your books as one balanced entry.

MyProfit sends each Amazon settlement (each deposit Amazon pays you) to your accounting software as one entry, split into the categories your accountant cares about, adding up exactly to the deposit.

Connecting

Open Xero or QuickBooks (QuickBooks Online) and choose Connect. Sign in and allow MyProfit. With Xero, pick the organisation if your login has several. MyProfit only creates the accounts it needs and the settlement entries; it never changes anything else in your books. You can disconnect at any time; if the connection expires, the page asks you to reconnect.

If the QuickBooks page says the connection isn't available yet, use the QuickBooks Desktop export on Settlements in the meantime.

Mapping categories to accounts

Every settlement line (sales, shipping collected, referral fees, FBA fees, storage, refunds, reimbursements, sales tax and so on) falls into a category. Map each category to one of your accounts, or leave MyProfit's recommended account. Create recommended accounts now sets them up straight away; otherwise they're created the first time you send. Recent amounts next to each category help you check the mapping.

Sending settlements

The page lists your settlements, newest deposit first, each Not sent, Sending…, Sent or Failed (with a Try again button). Preview shows the exact entry before you send. Send sends one; Send all unsent on this page does the rest. A settlement is never sent twice.

What appears in your books

XeroOne sales invoice to the contact "Amazon", dated the deposit day, one line per category, no tax. When fees were more than sales, a bill instead. You choose whether invoices arrive as drafts or approved.
QuickBooks OnlineOne balanced journal entry per settlement (numbered AMZ-…). The deposit goes to an "Amazon Clearing" account, created on the first send, or to a bank account you pick.

Settlements load for North American accounts only for now, so European settlements can't be sent yet.
